How to Manually Claim a Listing

This article teaches users how to manually claim listings using Rental Beast’s PM software integration to connect their PM software with Rental Beast and get their listings to the MLS (where applicable). 

Who Should Claim Listings Manually?

You can manually claim listings if you meet the following requirements:

  • You use more than one of the following PM software simultaneously: Appfolio, BuildiumEntrataMRI, Progress, PropertyWareRealPageRentec, Rhenti, ShowMojoTenant Turner, and Yardi
  • Your contact information in Rental Beast and your PM software do not match
  • There are multiple MLS agents in your brokerage who manage your portfolio or specific listing(s)

If your contact information does match, you use only one PM software, and you do not have multiple MLS agents managing a listing, AutoMatch is the preferred way to Claim Listings. Refer to this help article to learn more.

How to Claim Listings?

Rental Beast is a syndication destination for some of the most popular PM softwares. Claiming a listing in Rental Beast streamlines the data entry process and reduces the legwork to add your listing to the MLS. Rental Beast automatically receives your listing prefilled with any listing data syndicated from your PM software. Once claimed, a change made in your PM software will be automatically reflected in Rental Beast and your MLS.

There are three steps to claim a listing in Rental Beast:

  1. Turn syndication on in your PM software
  2. Claim your listing
  3. Update the listing to send it to your MLS (where applicable)

Step 1: Turn Syndication on in your Property Management Software

  1. Refer to these help articles and ensure the listing has syndication turned on in your PM Software. 
  2. There will be a delay of a few hours between turning syndication on and when Rental Beast receives a copy of the information. If you do not see the listing within 24 hours, contact Customer Support. 

Step 2: Claim Your Listing

To manually claim a listing, complete the following steps: 

  1. Click on the “Search” tab.
  2. Click the “Clear” button to reset the search filters.
  3. Type in your address and select it from the auto-populated suggestions in the dropdown. Click the “Search” button.
  4. Find your listing in the search results (in the “All” or “Rental Beast” tab) and click the “Claims Listing” icon on the far right of the listing row. 
  5. Check the box that certifies you as the exclusive rental agent for this listing. Then, input the date when your claim to the listing expires.
  6. Add your email address (if it is not automatically filled) and click the “Submit Verification Request” button. The email you enter will not change the email address to which your lead inquiry notifications will go.
  7. A message will appear that confirms your submission was a success. Click “OK”.
  8. Check your submitted email for a verification email. If you do not see the email immediately, check your spam folder. 
  9. Approve the request to verify your listing.
  10. Go to your Rental Beast portal to view listing(s) under your “My Listings” tab.

On the “MyListings” page, click the “Alerts” tab in the search toolbar to see only matched listings with required actions. If a listing has an “Exclamation Point” icon, it has actions that must be completed to syndicate to the MLS. If a listing has a “Checkmark” on it, all the required actions have been completed, and it is syndicated with the MLS.

Step 3: Update a Claimed Listing and Syndicate It to the MLS

To get a claimed listing sent to your MLS, you have to update the following fields for your listing:

  • Date available
  • Move-in costs
  • Renters insurance
  • Year built
  • Property type
  • Property structure

To edit a claimed listing, complete the following steps:

  1. Go to the “My Listings” tab.
  2. Find the listing you want to edit and click on it to expand the listing details.
  3. Click on any of the four “Pencil” icons to edit your listing.

  4. Select the desired tab you want to update, and click the “Save” button after editing.

Your listing typically will appear in your MLS within seconds. If your listing doesn’t appear in 24 hours, contact Customer Support.

Frequently Asked Questions:

Can an MLS Admin user manually claim a listing on behalf of a team member?

Yes. There are two ways to do this: 

  1. Manually submit the claim: Have the admin user complete the claim in their account manually. Once the verification is approved, the listing will be under their control and shown in their “MyListings” tab. To switch control, the admin needs to edit the “Agent Info” section for the listing and enter the correct agent’s information.
  2. SuperUse (Work as or Impersonate) access: Use this to access the agent’s Rental Beast account on their behalf and complete the standard manual claim process. Once verification is approved, the listing will be in the correct agent’s “MyListings” tab in Rental Beast.

If I claim a listing, do I need to update it in both my PM software and Rental Beast? 

No. Updating any of the fields below inside the PM software to reflect in Rental Beast:

  • Rent amount
  • Number of bedrooms
  • Number of bathrooms
  • Date available

However, you will need to update any other fields in Rental Beast and the PM software. 

Where do I update the status of a listing?

You must turn off syndication inside your PM software first and then change the status in Rental Beast. If you only turn off syndication in your PM software, the listing will remain “Active” in Rental Beast. If you only update the listing status in Rental Beast, the listing will repopulate, you will receive an email notification to claim a newly matched listing, and it will reappear as a “Draft” in your account. Why does my listing have an RBG tag in the search database?

If a user has not updated a listing’s required information, the listing will not syndicate to the MLS. The listing will display an “RBG” icon on it in the “Search Database” to distinguish that it is only viewable in the Rental Beast database.

Does claiming a listing change the days on the market?

No. The days on the market will remain unchanged. The days on the market are calculated based on when the listing first arrives in Rental Beast. This typically occurs within 24 hours of turning on syndication within your PM software. 

What in-platform listing alerts will I receive?
