How to Create and Manage Client Listing Alerts

This article teaches users how to create and manage listing alerts for their clients. Creating listing alerts for your clients will ensure our system sends them an email alert for any new or updated listings that fit their search criteria. 

How to Create Alerts from the Search Tab

‍To create alerts from the search tab, complete the following steps:‍

  1. Go to the “Search” tab. 
  2. Click “Clear” to remove any previous criteria.
  3. Input any desired search filters. 
  4. Once you have applied all filters, click the “Search” button. The search results will include all listings that fit your search criteria. 
  5. Click the “Floppy Disc” icon.

  6. Type the alert name in the “Type Shortcut Name” field and click the “+New Search” button to save your search.

  7. Your search name will appear on the screen, then click the “Bell” icon.

  8. On the popup, click “OK” to confirm your alert.
  9. Once the success popup appears, click the “Alerts” hyperlink, which will redirect you to the “Alerts” tab.
  10. Under the “My Alerts” section, locate the correct alert and click “Clients.” 
  11. To associate an alert with a client, begin typing their name in the “Add a Client” field. Once their name appears from the auto-populated drop-down list, select it.
  12. Check the box next to “Send Email,” select the frequency in the drop-down menu, and click “Submit.”

How to Create Alerts from the Alerts Tab

‍To create alerts from the alerts tab, complete the following steps:‍

  1. Click the “Alerts” tab.
  2. Click the “New Bell” icon.

  3. A box will appear, then input your client’s search criteria.
  4. Type in an alert name in the text field and click the “Save Alert” button.
  5. Under the “My Alerts” section, locate the correct alert and click “Clients.” 
  6. To associate an alert with a client, begin typing their name in the “Add a Client” field. Once their name appears from the auto-populated drop-down list, select it.
  7. Check the box next to “Send Email,” select the frequency in the drop-down menu, and click “Submit.”

How to CC Yourself on Inventory Alerts

‍To CC yourself on inventory alerts, complete the following steps:‍

  1. Click on “Settings” in the header. 
  2. Click the “Client Communication” tab. 
  3. Locate the toggle under the text “Listing alerts for my clients” and set it to “Yes”.

  4. Click “Save Changes”.

How to View Alerts Sent to a Client

‍To view alerts sent to a client, complete the following steps:‍

  1. Go to the “Clients” tab. 
  2. Click the “Activity Hub” tab. 
  3. Any listing sent to a client from a listing alert will be logged in the “Activity Hub”. Click the “View Listing” button to be redirected to a new browser with the listing details.

How to Unsubscribe a Client from an Alert

‍To unsubscribe a client from an alert, complete the following steps:‍

  1. Click the “Alerts” tab.
  2. Find the named alert you want to unsubscribe your client from and click “Clients”.
  3. Locate the client name you want to unsubscribe and click the “Trash Can” icon.

  4. Click the “OK” button in the popup to confirm the changes. 

How to Delete a Listing Alert

‍To delete a listing alert, complete the following steps:‍

  1. Click the “Alerts” tab.
  2. Find the listing alert you want to delete and click the “Trash Can” icon.

  3. Click the “OK” button in the popup to confirm deleting the listing alert.
