How to Use and View the Client Activity Hub

This article teaches users how to view and track client activities via your Client “Activity Hub”.

How to View the Client Activity Hub

To view the “Activity Hub”, complete the following steps: 

  1. Go to the “Clients” tab. 
  2. Click the “Activity Hub” tab. 
  3. As you view alerts, expand or collapse alerts individually by clicking the “Carat” icon. Click the “Expand All” or “Collapse All” button to expand or collapse all alerts simultaneously. 
  4. If available, click the “View Listing” button to see the listing the client interacted with.

Activity tracking only works with clients listed in your “Clients” tab. Refer to this article to add a renter client to the "Clients" tab

How Client Activity Tracking Works

To utilize client activity tracking, complete the following steps:

  1. To track a client’s activity in Rental Beast, you must ensure they are a contact in your “Client” tab. Accepted leads will automatically be added; however, you must manually input any new clients under the “Client” tab to get tracking functionality.
  2. You can then go to the “Search”tab and select the listing(s) you want to email to a client by selecting them and clicking on the Email” icon.
  3. Clients saved in your “To Clients"auto-populated dropdown field.
  4. Complete the "Subject" and "Message" fields, then click "Send" to email the listing(s).
  5. Your client will receive an email with your message and can view a listing by clicking the “View Details” button under each listing. If you send more than five listings to your client, they will click a “View All Listings” button towards the end of the email. 
  6. A client will be able to do the following from a listing:
    • Save it
    • Schedule a showing
    • Submit an application
  7. If a client selects one of those three options, their email address will auto-populate in the pop-up box. This confirms that your client has been registered in our system as your client. 
  8. Next, they will be asked to create a password and click “Sign Up.” You will begin to receive alerts in your activity hub for any new activity from your client. 
  9. Once the account is created, your client can view their “My Listings” landing page. On this page, they can view listings that were:
    • Sent by you
    • Sent via a previously set-up client alert
    • Favorited or requested to tour by them.
    • Like/Dislike a listing
  10. As a client interacts with listings or is sent new listings, you will receive alerts and can view the activity, including specific listings by clicking the “View Listing” button. Client activity can be found under the “Client” tab and then clicking the “Activity Hub” button. 

Frequently Asked Questions

What is Tracked in the Activity Hub?

Activities tracked in the “Activity Hub” include:

  • A client requested a showing
  • A client favorited a listing
  • A client received a new listing alert
  • A client may be approaching a lease renewal (Rental Beast Pro users only)
  • A client completed the client questionnaire (Rental Beast Pro users only)
  • A lead is accepted or auto-accepted (Rental Beast Pro users only)

Will I know which listing my client interacted with?

Yes. Whenever you accept a new lead, the lead favorites a listing, or requests a showing, there will be a “View Listing” button next to the relevant listing. Clicking the button will open the listing in a new browser window.

How does the Activity Hub list client actions?

The “Activity Hub” will display your client actions in reverse chronological order with the most recent activity at the top of the list.

Can I search for a specific client?

Yes. Type their name in the search bar to search for a specific client.

Will I know if an alert is new?

Yes. New alerts that have yet to be viewed will have a “New” icon to stand out. The “Client” tab and “Activity Hub” tab will show a numerical count icon to indicate new alerts to view.

Can I reset a listing to show as “new”?

Yes. Click the “Mark as Unseen” button. The listing will then be marked with the “New” icon again.
