This article teaches users how to email listings to a client and use activity tracking. Activity tracking lets users receive client activity updates within the Rental Beast Broker Portal.
How to Email a Listing(s) from the Search Page
To email a listing(s) from the search page, complete the following steps:
- Click on the “Search” tab.
- Click the “Clear Criteria” button to reset search filters.
- Once you have filled in your search criteria, click “Search” to generate your results.
- Check the box next to the listing(s) in the search results you want to send to your client.
- Click the “Envelope” icon labeled “Email”.
- Clients saved in your “Client” database can be quickly selected under the “To Clients” auto-populated dropdown field.
- Complete the “Subject” and “Message” fields.
- If desired, select the checkboxes to be CC’d on the email or to receive a broker version of the report.
- Click the “Send” button to email listing(s) to your client.
To track a client’s activity in Rental Beast, you must ensure they are a contact in your “Client” tab. Accepted leads will automatically be added; however, you must manually input any new clients under the “Client” tab to get tracking functionality. You should do this before sending the client listings via email.
How to Email a Listing from the Listing Details Page
To email a listing from the listing details page, complete the following steps:
- Click on the “Search” tab.
- Click the “Clear Criteria” button to reset search filters.
- Once you have filled in your search criteria, click “Search” to generate your results.
- Click on the listing you want to send and the listing details page will open in a new browser window.
- Click the “Envelope” icon labeled “Email”.
- Clients saved in your “Client” database can be quickly selected under the “To Clients” auto-populated dropdown field.
- Complete the “Subject” and “Message” fields.
- If desired, select the checkboxes to be CC’d on the email or to receive a broker version of the report.
- Click the “Send” button to email listing(s) to your client.

How to Track a New Client’s Activity from Emailed Listings?
When you send listings via email to a new client, the following will happen:
- Your client will receive an email with your message and can view a listing by clicking the View Details button under each listing. If you send more than five listings to your client, they will click a “View All Listings” button towards the end of the email.
- A client will be able to do the following from a listing:
- Save it.
- Schedule a showing.
- Submit an application.
- If a client selects one of those three options, their email address will auto-populate in the pop-up box. This confirms that your client has been registered in our system as your client.
- Next, they will be asked to create a password and click “Sign Up.” You will begin to receive alerts in your activity hub for any new activity from your client.
- Once the account is created, your client can view their “My Listings” landing page. On this page, they can view listings that were:
- Sent by you.
- Sent via a previously set-up client alert.
- Favorited or requested to tour by them.
- Like/Dislike a listing.
- As a client interacts with listings or is sent new listings, you will receive alerts and can view the activity, including specific listings by clicking the “View Listing” button. Client activity can be found under the “Client” tab and then clicking the “Activity Hub” button.
